WheelNotes is a vehicle maintenance tracker. This policy explains what personal data the app and this website process, and what you can do about it.
The data controller is TODO: legal entity name and registered address. You can reach us at support@wheelnotes.fr.
What we collect
Account details. Your email address, your name if you provide one, your profile photo if you upload one, and a hashed password. Your email address identifies your account and is where account emails are sent.
Vehicle and maintenance data. The vehicles you add, their make, model, year and registration details, the maintenance tasks you record, odometer readings, costs you enter, and any documents or photographs you attach.
Preferences. Your language, distance units, currency, and whether you have opted in to reminders and email summaries.
Technical data. When the app or site encounters an error we record diagnostic information — the type of error, the app version, the device model and operating system version — so we can fix it. Our servers keep standard web logs, including IP addresses, for security and troubleshooting.
We do not use advertising trackers, and we do not sell personal data.
Why we process it
- To provide the service — storing your vehicles, calculating what maintenance is due, and showing your history. This is necessary to perform our contract with you.
- To send the reminders and summaries you have enabled. You can turn these off at any time in the app.
- To keep the service secure and working, and to fix faults. This is our legitimate interest in running a reliable service.
- To meet legal obligations, such as retaining records where the law requires it.
Who we share it with
We use a small number of service providers who process data on our behalf:
- OVHcloud (France) — hosting for the application and database.
- Sentry — error and crash diagnostics.
- TODO: transactional email provider — account and reminder emails.
- Apple and Google — if you subscribe, your payment is handled by the app store. We never see your card details.
We do not share your data with anyone else except where we are legally required to.
Where it is stored
Application data is hosted in France. Some providers listed above may process limited data outside the European Economic Area under the safeguards required by the GDPR.
How long we keep it
We keep your data for as long as your account exists. When you delete your account, your vehicles, maintenance records, mileage logs and documents are deleted. Backups are retained for TODO: retention period before being overwritten, and error diagnostics are retained for 90 days.
Your rights
If you are in the EU or the UK, you have the right to access your data, correct it, delete it, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent where we rely on it. Most of this you can do yourself in the app. For anything else, email support@wheelnotes.fr and we will respond within one month.
You can delete your account and everything in it at any time — see Delete your account.
You also have the right to complain to a supervisory authority. In France, that is the CNIL.
Children
WheelNotes is not intended for children under 16, and we do not knowingly collect their data.
Changes
If we change this policy we will update the date at the top of this page, and tell you in the app if the change is significant.
